CMMS Case Study at Tru-Flex

Tru-Flex Sp. z o.o. is a manufacturing company belonging to the international Tru-Flex LLC group, specializing in the production of metal components used, among others, in the automotive industry. The Polish plant operates dynamically and serves demanding customers, which directly translates into high expectations regarding quality and the reliability of production processes.

In such an environment, the Maintenance Department plays a key role. Production continuity, fast response to breakdowns, and effective planning of preventive activities all depend on its performance. This is exactly why the company decided to implement the Profesal Maintenance CMMS system – to organize processes and increase control over its technical infrastructure.

Implementation objective

The main objective of the implementation was to organize and further develop preventive maintenance activities. The organization lacked a consistent model for planning inspections and monitoring their execution. Maintenance operations were functioning correctly on a day-to-day basis, but there was no tool that would allow the company to look at processes in a systemic and long-term way.

At the same time, the company also wanted to:

  • organize spare parts management,
  • build a complete service history of machines,
  • streamline the handling of maintenance requests,
  • improve communication between production and the technical department.

An important part of the project was also the transfer of selected functionalities previously used in the ERP system to a dedicated CMMS environment, including spare parts information management, warehouse demand handling, and service work history. This made it possible to achieve better control over spare parts management and gain more complete visibility into the operational history of machines.

How did the CMMS system help?

As part of the project, the Profesal Maintenance CMMS system was implemented together with a mobile application for technicians and a request submission tool for production.

The functional scope mainly included:

  • planning and execution of preventive maintenance work,
  • handling of maintenance requests,
  • spare parts warehouse management,
  • creation of service history for machines and equipment,
  • registration of technicians’ working time.

The biggest change was the introduction of a structured preventive maintenance model. The system made it possible to plan inspections, control their execution, and continuously monitor the condition of the technical infrastructure. As a result, Maintenance stopped operating purely in a reactive mode and began functioning in a more predictable way.

Another important area was improved communication. Production can now report breakdowns in a simple way, and requests are forwarded directly to the relevant persons. At the same time, technicians can add and supplement information, which improves data quality in the system.

Another major benefit was the organization of spare parts management. The system makes it possible to better control inventory levels and link spare parts to specific maintenance jobs. This, in turn, facilitates cost analysis and purchasing planning.

The role of the Maintenance Manager

A key success factor of the project was the strong involvement of the Maintenance Manager. He not only actively participated in the implementation, but also consistently supported the team in the day-to-day use of the system.

As a result, employees quickly adopted the new tool and began using it in practice. This led to high data quality in the system – properly recorded working time, well-documented repair history, and active use of the request module. This shows that even the best system will not deliver results without commitment on the organization’s side. In this case, the leader’s role was one of the most important elements behind the project’s success. The CMMS not only works, but genuinely supports the organization – and that is the best recommendation.
