CMMS Case Study at Auto Partner

Auto Partner S.A. is a leader in the distribution of spare parts for passenger cars, vans, and motorcycles. The company operates on a modern sales and logistics platform, delivering products just-in-time to garages and automotive stores across Poland.

It offers nearly 280,000 parts from over 350 suppliers worldwide, including the largest automotive brands and exclusive brands available only at Auto Partner. The company’s goal is to provide customers with a wide selection of parts and maximum availability—supporting the efficient operation of thousands of garages every day.

Implementation Goal

The Auto Partner story began in March 2021, during the pandemic. This was the first client we didn’t have the opportunity to meet in person even once during the sales and implementation processes; all contact was conducted remotely.

The implementation goal was to effectively utilize the system, particularly the mobile terminals for handling breakdowns and faults, and maintaining records of machines and devices available in the Center’s equipment.

We began with a standard sales process and then conducted a return on investment (ROI) analysis to determine the potential return on investment. Based on this analysis, the client decided to purchase the Profesal Maintenance CMMS system. History shows that the ROI did pay off – so much so that the client kept coming back with development requests.

How did the CMMS system help?

The mobile app allows you to mark your machinery and initiate all necessary interactions via your phone. It also allows you to edit asset locations, change asset photos, and assign tasks or tickets to designated individuals, even by scanning the QR code on the machine.

The CMMS system provides a preventive maintenance module that allows you to schedule maintenance and inspection tasks, including recurring ones, and create checklists. The warehouse management module meets the need for ongoing inventory tracking, seamless inventory management, and access to historical data.

The project involved implementing a machine inventory system across a large fleet using QR codes. The system generates QR codes and allows new assets to be added via a mobile app. Technicians, moving around the facility with a printer in one hand and a phone in the other, applied the codes and built the asset structure in real time.

At the end of 2024, a fixed asset disposal module was introduced, meeting the needs of the controlling department. The company also decided to further develop the system at headquarters, enabling its implementation in other Hubs. To adapt the system to the needs of different Hubs, we collaborated on expanding the visibility of technical departments so that each facility could have its own visibility settings, tailored to user permissions, while still having access to a shared warehouse.
