CMMS Case Study at HELUKABEL

HELUKABEL has been operating in Poland since 1999. From a small branch of a German corporation, the company has grown into one of the leading suppliers of cables, wires, and cable accessories for the electrical industry. Its offerings include control cables, telecommunications cables, power cables, fiber optic cables, and specialized solutions used in numerous industrial sectors.

The company’s extensive technical infrastructure and the number of devices used in its operations required streamlining, and its technical teams needed a tool that would streamline the documentation and planning of maintenance work.

Implementation Goal

The goal of implementing a CMMS system was to comprehensively support the digitalization of the maintenance area in response to the growing number of machines used across the company’s facilities. The project involved streamlining machine and equipment records, streamlining machine park management, and increasing control over warehouse management, including ordering and spare parts availability.

The system was intended to enable efficient service request handling using mobile tools, accelerate the implementation of corrective and preventive actions – including those performed periodically – and improve communication between the production department and maintenance. A key element of the implementation was also the reliable recording of technicians’ work time using a convenient start-stop model and the collection of historical data on the operation of machines and spare parts.

In addition, the CMMS system was to provide reporting tools for monitoring key performance indicators such as MTTR, MTBF, service times, and downtime. The implementation aimed to create a coherent work environment that supported operational decision-making and the further development of maintenance processes based on reliable data.

How did the CMMS system help?

,,Labeling machines and parts with QR codes allowed for efficient finding of key resource information and retrieving needed items from the warehouse. The order tracking module helps control spare parts orders. After entering the appropriate data, it automatically generates an email with a request for quotation and notifies about shortages.”

As part of the CMMS implementation, a QR code module was introduced, enabling the labeling of machines and parts stored in the warehouse. This gave maintenance staff quick access to resource information, streamlining equipment identification and expediting service and parts retrieval.

The ordering and lead time tracking module also proved to be a significant improvement, streamlining the process of requesting spare parts. This solution supports service planning and increases control over on-time delivery, and its functionalities were so well-received that they were incorporated into the system’s regular offering.

Additionally, a work time recording module based on the start-stop model was implemented, enabling more accurate recording of time spent on service tasks. The system was also adapted to the client’s organizational structure – a division of permissions between plants was introduced, limiting access to data to only appropriate users and eliminating the risk of errors resulting from working with incorrect information.

As part of the implementation, reports and email notification mechanisms were also adapted to actual user needs. This has transformed the CMMS system into a tool supporting the daily operations of the maintenance department, improving process transparency, communication, and control over ongoing tasks.
