CMMS Case Study at Voltrim Trade

Voltrim is a Polish manufacturer of electrical cables. Thanks to its own factory and flexible production processes, it quickly responds to market needs and implements even the most demanding projects. The company offers a wide selection of low- and medium-voltage cables in various configurations and materials, always based on high-quality copper.

Daily work at Voltrim is based on quality and safety, which is why every stage of production is meticulously monitored in accordance with the ISO 9001 standard. However, as the company grew and the number of tasks increased, the need arose to better organize technical processes and support team work.

Implementation Goal

The primary need presented during the sales process was the ability to record machines, equipment, and spare parts in the system. Furthermore, the system was intended to expedite the work of technicians, enabling the recording of time and information related to ongoing activities. The system was also intended to facilitate the implementation/planning of preventive maintenance. Additionally, the system was intended to support the production department in reporting service requests and providing access to machine documentation.

The CMMS system met the client’s needs, significantly accelerating the work of maintenance technicians and streamlining the recording and analysis of technical events. Implementation enabled the efficient building of a history of failures and service activities, as well as accurate recording of work time, which translated into greater transparency and better control of completed tasks.

The system also supported the planning and implementation of preventive measures. Digital checklists available in the system’s mobile units facilitated inspections and ensured a uniform standard for their implementation. The technical documentation collected in the system significantly streamlined the process of preparing data for audits, including inspections conducted by the Office of Technical Inspection (UDT).

To improve workflow ergonomics and provide faster access to information, notification mechanisms were adapted. Users receive messages containing direct links to the appropriate areas of the system, depending on whether they are working in the desktop, mobile, or reporting kiosks. This solution shortened the time required to verify reports and take action.

Furthermore, the task view in the mobile app was optimized. After logging in, users first see the tasks assigned to them, with a clear distinction between overdue tasks and those scheduled for the current week. Easier filtering and an expanded scope of information presented – including the indication of the parent resource to which the report pertains – allowed technicians to more quickly assess the task context and more efficiently plan further actions.
