CMMS Case Study at DPD Polska

DPD Polska is part of Geopost, the second largest international courier network, which delivers parcels worldwide every day in accordance with the principles of sustainable development.

The company is also keeping pace with digitalization in the technical sphere, which has resulted in the implementation of CMMS Profesal Maintenance software in the company’s key warehouses in Poland.

Implementation objective

The objective of the implementation was to streamline and tighten up the process of reporting faults, comments and needs of machine users, enable the preparation of analyses based on historical data, and ensure effective scheduling and planning of preventive work.

The main tasks of the system were to enable warehouse management as part of maintenance and to manage orders for materials and spare parts.

Another important aspect was the possibility of cooperating with external service providers within a single system.

How did the CMMS system help?

As part of the implementation, a comprehensive solution was introduced, consisting of a main supervisory unit for data managers and administrators, Profesal Maintenance Mobile applications for those performing assigned tasks, and mySupport applications for those reporting issues.

The standard scope of the Profesal Maintenance CMMS system allowed for the standardisation of communication flow in reactive activities and supported the planning and implementation of timely preventive measures. Access to historical knowledge (also from mobile devices) and the reporting system allowed for data analysis for optimisation purposes.

For better acclimatization of the system and its adaptation to processes in the company’s key warehouses, the solution was modified with additional functions, taking into account the needs of DPD Polska’s maintenance experts.

Particular emphasis was placed on adjusting the spare parts management system, including the collection of parts by employees for specific events and scenarios for ordering parts when minimum stock levels are reached, in order to avoid downtime. In addition, a function was created for the customer’s processes to generate semi-finished products from spare parts available in the technical warehouse.

In addition to the above, the scope of configuration included the separation of user permissions and the adaptation of data dictionaries to better match the nomenclature used by the customer. Methods for quickly refreshing graphical views were also implemented to improve the visualization of the data entered.

The implementation has brought benefits in terms of improving communication between employees of various key warehouse sections, enabling constant insight into the service activities of external contractors and providing a complete history of these activities. The system also provides reports that meet the company’s needs in terms of control and optimisation of activities. In addition, thanks to the system, maintenance experts have insight into not only their own warehouse stocks, but also those of external suppliers, which helps to optimise cooperation. A big advantage is having all the information in one place, without having to ask the contractor to send data.

The cooperation between DPD Polska and Profesal Sp. z o.o. did not end after the implementation and training of employees, but is still ongoing, which has resulted in further implementations in other DPD Polska locations, and the system is constantly being developed.
