CMMS Case Study at Hörmann Legnica

The Hörmann Group is Europe’s largest manufacturer of doors, door frames and operators, and one of the key global players in this industry. The company was founded in 1935 and remains a family-owned business to this day, consistently developing on the basis of a long-term strategy and high quality standards. The organisation has around 40 production facilities in Europe, North America and Asia, employs over 6,000 people and conducts sales activities through more than 100 of its own distribution branches in over 40 countries.

Implementation objective

Before the project began, the company did not use any IT system to support maintenance. All documentation, including reports, protocols and inspection histories, was kept in paper form, which made it difficult to access information, limited data transparency and slowed down the team’s daily work.

The main objective of implementing the CMMS system was to digitise and automate the circulation of documents and information, thereby completely eliminating paper documentation. The client expected to streamline technical inspections and speed up the work of the maintenance department by automatically generating reports and service reports.

Another important element of the project was the implementation of KPIs already in use in the organization into the CMMS system. This allowed for the streamlining of the reporting process, increasing its consistency and obtaining reliable data necessary for the ongoing analysis of the effectiveness of maintenance activities.

How did the CMMS system help?

The implementation of the Profesal Maintenance CMMS system allowed for the organization and standardization of key processes related to fault reporting, work coordination and the recording of technical event history. The maintenance team gained a single, consistent tool that became the central source of information about the condition of machines, tasks being carried out and maintenance activities performed.

Support in the planning and implementation of preventive measures played an important role in day-to-day work. The system not only enabled the scheduling of inspections, but also helped to control their timeliness, which translated into greater predictability of activities and better organisation of the technical team’s work. CMMS also took over the management of the technical warehouse, providing technicians with real-time access to information on the availability of parts and materials.

For the Hörmann plant in Legnica, the flexibility of the system and the possibility of its gradual development in line with the changing needs of the maintenance department proved to be particularly important. CMMS was treated not as a closed solution, but as a tool supporting the philosophy of continuous process improvement. In this context, an important element of the project was the team’s participation in training courses for system configurators, which allowed them to better understand its structure and capabilities and to independently identify areas for further improvement.

The cooperation did not end at the basic implementation stage. The system was gradually expanded with new functionalities, including KPI automation and mechanisms for planning further actions based on operational data. This approach significantly improved internal processes and strengthened the role of CMMS as a tool supporting operational decisions.
